Terms of Service

Draft — pending legal review. These terms describe how Transcripta actually works today, but they are not legal advice and have not yet been reviewed by a lawyer. Last updated September 6, 2026.

1. What Transcripta is

Transcripta is a web-based tool that helps schools create, manage, and export student transcripts, including grade tracking, GPA calculation, Word document generation, and optional AI-assisted features for reading grades from report card photos.

2. Accounts and who they belong to

  • An account is created per school, not per individual — the person who signs up becomes the first user for that school's account.
  • The school is responsible for who else it grants access to its account, and for what those staff members do with it.
  • You must provide accurate information when creating an account and keep your login credentials confidential. You're responsible for activity that happens under your login.

3. Your data stays yours

Transcripta does not claim ownership of any student data, school information, or documents you create using the service. You can export your data (as Word documents or JSON files) at any time, and can request deletion of your account and its data — see the Privacy Policy, Section 6.

4. The software itself is ours

Section 3 covers your data — this section covers the other direction. The Transcripta software itself — its source code, design, the specific way it reads and processes report card photos, and its underlying architecture — is the property of Transcripta and is protected by copyright. Using the service gives you a license to use it for your school's own transcript administration — it does not give you, or anyone you grant access to your account, any right to:

  • Copy, reverse-engineer, decompile, or extract the underlying source code or AI prompts for use outside the service
  • Build a competing product using Transcripta's code, design, or documented methods
  • Resell, sublicense, or provide the service to another school under your own account without authorization
  • Remove or alter any copyright, trademark, or attribution notices

This section exists to state the obvious plainly rather than leave it implied: being invited to test or use Transcripta is not a license to copy it.

5. Acceptable use

You agree not to:

  • Enter data you don't have the right or authority to enter (e.g. a student's records without your school's proper authorization)
  • Attempt to access another school's data, or to circumvent the access controls that keep schools' data separate
  • Use the service in a way that places excessive load on it in a manner designed to disrupt it for other users
  • Use the AI-assisted features to process content unrelated to legitimate school transcript administration

6. The AI-assisted features specifically

These features require you to supply your own API key from Anthropic (the AI provider) and are entirely optional. Using them:

  • Means you're responsible for your own usage and any costs Anthropic charges to your key
  • Means content you submit (report photos, typed instructions) is sent directly from your browser to Anthropic, governed by Anthropic's own terms — see the Privacy Policy, Section 4, for the full data-flow explanation
  • Comes with no guarantee of accuracy — the feature is designed to reduce manual data entry, but every result is presented for your review before being applied, and you're responsible for verifying accuracy before relying on any AI-extracted data on an official document

7. No warranty, honestly stated

Transcripta is provided "as is." Specifically, and stated plainly rather than in dense legal boilerplate:

  • This is currently operated by a small team, not a large company with a dedicated support and reliability organization. We aim for the service to be reliable but do not currently guarantee any specific uptime percentage.
  • We do not guarantee the service will be error-free or uninterrupted.
  • You remain responsible for verifying the accuracy of any transcript or document generated before submitting it as an official record — Transcripta is a tool to help produce these documents faster and more consistently, not a substitute for your own final review.

8. Limitation of liability

To the maximum extent permitted by law, Transcripta and its operators are not liable for indirect, incidental, or consequential damages arising from use of the service, including but not limited to data loss, errors in generated documents, or service interruptions. Nothing in these terms limits liability where it cannot be limited by law.

9. Service changes and discontinuation

We may modify or discontinue features of the service. We'll make reasonable efforts to notify school administrators of material changes that affect how they use the service, particularly around data export options if the service were ever to be discontinued entirely.

10. Termination

You may stop using the service and request account deletion at any time. We may suspend or terminate accounts that violate these terms, with notice where practical, except where immediate action is necessary (e.g. a security concern).

11. Governing law

These terms are governed by the laws of Jamaica, without regard to conflict-of-law principles.

12. Changes to these terms

We may update these terms as the service evolves. Continued use after a material change constitutes acceptance of the updated terms; we'll make reasonable efforts to notify school administrators of significant changes.
